Administrative Assistant
We are currently looking for a part-time Administrative Assistant who, over the next 2-3 months, can learn the duties of the Office Manager, to cover an upcoming maternity leave in that position. The Administrative Assistant would be expected to move into a fulltime position to cover the leave. The fulltime position will be for 6 months with the possibility of up to a year. There may also be an opportunity for the right candidate to continue on in a part time administrative position.
Skills Required:
Strong computer skills in Word and internet/email use. Knowledge of Excel and Access would also be an asset.
Basic knowledge of bookkeeping practices and software (Simply Accounting) would also be an asset.
Organizational skills with an attention to detail are essential.
Strong keyboarding/data entry skills.
Responsibilities:
The responsibilities of this position will grow as it moves into covering the maternity leave of the Office Manager and include:
-General office duties, including reception, mail preparation, data entry, filing etc.
-Bookkeeping (particularly posting entries in Simply Accounting)
-Assisting with preparation of materials for council meetings
-Taking minutes at council and/or committee meetings
-Making travel arrangements as required for staff, council and committees
-Preparing correspondence for the signature of the Executive Director, President, etc.
-Assisting with registration (which includes a significant amount of data entry)
-Management of the facility and supplies
-Other projects as assigned
Education/Experience:
Completion of Office Automation/Administration Diploma (or similar) along with experience working in an office environment. Candidates with equivalent combined education and experience will be considered.
The candidate must be a team player with strong interpersonal and communication skills. The ability to interpret and apply policies, procedures and legislation is essential.
The right candidate will have a strong work ethic and an appreciation for working in a professional environment.
The chosen candidate will be required to complete a criminal record check.
